Please read these carefully before purchasing a RaffleKit plan. By paying for and using RaffleKit, you agree to these terms.

1. 🏢 Who we are

RaffleKit is a service provided by Ruiha Labs Limited (NZBN: 9429052653124), a New Zealand registered company. We trade under the name RaffleKit.

All invoices, agreements, and correspondence are issued by Ruiha Labs Limited, trading as RaffleKit.

2. 📖 Definitions

"Activation"The point at which your RaffleKit page is configured and made live by us following payment confirmation

3. 🛠️ What RaffleKit provides

RaffleKit is a manually set-up, hosted raffle page service. When you purchase a plan, we:

  • Configure a dedicated raffle page with your organisation's details, prize baskets, draw date, and bank payment information
  • Provide you with an admin panel to manage ticket orders, confirm payments, run a live draw, and download your data
  • Host the page for the duration of your plan
ℹ️
RaffleKit is a software tool only. We are not involved in the running, promotion, or conduct of your raffle. We do not handle your ticket money, collect payments from raffle buyers, or take any commission. All ticket payments go directly to your bank account.

What is not included

  • Email delivery or automated notifications to raffle buyers
  • Payment processing — all payments are made by bank deposit directly to your account
  • Legal or compliance advice
  • Graphic design, printing, or fulfilment of prizes

4. 💳 Plans & pricing

We offer the following plans. All prices are in New Zealand dollars and exclude GST.

Prices are subject to change. We will provide at least 30 days' notice by email before any price change takes effect. Any change will apply at your next renewal — not mid-plan.

5. 🏦 Payment

All payments are made by NZ bank deposit to Ruiha Labs Limited. Payment details are provided at the time of purchase on our website.

  • Your plan will be activated within 1 business day of us confirming receipt of your payment
  • Please use the payment reference provided on the sign-up form so we can match your payment
  • If payment is not received within 5 business days of sign-up, your order will be cancelled and you will need to re-apply

For monthly and annual plans, renewal payments are also made by bank deposit. We will send you a reminder email before your renewal date. It is your responsibility to make the payment on time to avoid interruption to your service.

Because we use bank deposit (not automated billing), your plan will not renew automatically. We will send your invoice on the 30th of each month, with payment due by the 20th of the following month. Your first invoice may be pro-rated to align your billing to this cycle. Simply pay by bank deposit using the reference on the invoice to keep your plan active.

6. 🔄 Refunds

We want you to be happy with RaffleKit. Our refund policy is as follows:

Full refund — eligible if:

  • You request a refund within 7 days of payment, and
  • Your page has not yet been activated (i.e. we have not yet set up your raffle page)

No refund — if:

  • Your page has already been activated and made live
  • More than 7 days have passed since your payment
  • You have used the service to run a draw

If something goes wrong on our end, we'll always do the right thing. Email us at hello@ruihalabs.com and we'll work through it with you.

Refunds are issued by bank transfer to the account the payment was made from, within 5 business days of approval.

7. 🚪 Cancellation

Cancelling your plan

You can cancel your RaffleKit plan at any time by emailing hello@ruihalabs.com.

  • Monthly plans: Your page remains active until your next anniversary date. No further payments will be taken after that.
  • Annual plans: Your page remains active until the end of your 12-month period. No partial refunds are given for unused months.
  • One Raffle plan: Expires 30 days after activation regardless of cancellation.

Before you cancel

Please export your data before cancelling. Your admin panel has an "Export My Data" section under Settings that lets you download all your orders, baskets, and draw records as CSV files. We strongly recommend doing this before your plan ends.

8. 🔧 Service & maintenance

Availability

We aim to keep your RaffleKit page available at all times during your plan, but we do not guarantee 100% uptime. As a small, manually managed service, occasional brief interruptions may occur.

Bug fixes

We may apply bug fixes and minor corrections to the platform from time to time. When we do, we will notify you by email beforehand. These fixes may cause a brief interruption — typically a page refresh will resolve any issue. We make no guarantees about the timing or frequency of fixes.

Feature updates

Feature additions are not guaranteed under any plan. If we add new features, we will let you know — but this is not a commitment.

RaffleKit is a small, community-focused service. We keep prices low by keeping things simple. If something's not working, email us — we're real people and we'll sort it.

9. ⚖️ NZ gambling law — your responsibility

Important: RaffleKit provides software tools only. You are solely responsible for ensuring your raffle complies with all applicable New Zealand laws and regulations.

Raffles in New Zealand are regulated under the Gambling Act 2003. Key points you need to be aware of:

  • Class 1 gambling (net proceeds up to $500, no licence required) — small raffles within clubs may qualify
  • Class 2 gambling (net proceeds $501–$5,000) — requires a Class 2 operator's licence from the Department of Internal Affairs
  • Class 3 gambling (net proceeds over $5,000) — requires a Class 3 operator's licence
  • All proceeds from raffles must go to an authorised purpose (e.g. club funds, charitable purposes)
  • Raffle tickets cannot be sold to anyone under 18 years of age

We strongly recommend checking the Department of Internal Affairs website or seeking independent legal advice if you are unsure of your obligations.

Ruiha Labs Limited accepts no liability for any failure by a customer to comply with NZ gambling laws. By purchasing a RaffleKit plan, you confirm that you understand and will comply with all relevant laws.

10. ✅ Your responsibilities

By using RaffleKit, you agree to:

  • Provide accurate information when setting up your raffle (organisation name, bank account details, draw date, etc.)
  • Only use RaffleKit for lawful fundraising purposes
  • Ensure your raffle complies with the Gambling Act 2003 and any other applicable NZ law
  • Not misrepresent RaffleKit or Ruiha Labs Limited in any way
  • Keep your admin password secure and not share it with unauthorised people
  • Communicate accurately with your raffle buyers about prizes, draw dates, and payment expectations
  • Conduct the draw fairly and in good faith, using the two-witness approval process provided
  • Export your data before your plan expires or before you cancel

11. 🛡️ Our liability

To the maximum extent permitted by New Zealand law:

  • Ruiha Labs Limited is not liable for any indirect, consequential, or incidental loss arising from your use of RaffleKit
  • We are not liable for any failure to comply with NZ gambling law on your part
  • We are not liable for lost data if you have not exported it prior to plan expiry or cancellation
  • Our total liability to you in any circumstance is limited to the amount you paid us in the 3 months prior to the claim

Nothing in these terms excludes or limits liability that cannot be excluded by law, including rights under the Consumer Guarantees Act 1993 or Fair Trading Act 1986 where applicable.

12. 🔒 Privacy & your data

Ruiha Labs Limited is committed to handling personal information in accordance with the Privacy Act 2020.

What data we hold

When you use RaffleKit, the following data is stored in your raffle's database:

  • Customer data (you): organisation name, contact name, email address, phone number
  • Raffle buyer data: names, email addresses, and phone numbers of people who reserve tickets through your public raffle page
  • Order data: ticket quantities, basket allocations, payment references, and payment status
  • Draw records: winner names, ticket numbers, and witness approvals

How we use it

  • Raffle buyer data is used solely to manage and administer your raffle — we do not use it for marketing
  • Your contact details are used to communicate with you about your plan, fixes, and renewals
  • We do not sell, share, or disclose any data to third parties, except as required by law

Your rights

Under the Privacy Act 2020, you and your raffle buyers have the right to access and correct personal information held about them. Requests can be made to hello@ruihalabs.com.

As the customer, you are the data controller for your raffle buyers' personal information. It is your responsibility to handle that data appropriately and in accordance with the Privacy Act 2020.

13. 🗑️ Data on cancellation or expiry

When your plan ends — whether by cancellation, non-renewal, or expiry — the following happens:

  1. Your admin access is disabled. You will no longer be able to log in to your admin panel.
  2. Your public raffle page is taken offline. Raffle buyers will no longer be able to access it.
  3. Your data is retained for 6 months from the date your plan ends. During this period, you can contact us at hello@ruihalabs.com to request a data export if you did not do so beforehand.
  4. After 6 months, all data is permanently deleted — orders, buyer details, draw records, and settings.

We strongly recommend exporting your data before your plan ends. Use the "Export My Data" section in your admin panel — it lets you download everything as CSV files in one click. Don't leave it until after your plan expires.

14. 💡 Intellectual property

All software, design, code, and content that makes up RaffleKit is the intellectual property of Ruiha Labs Limited.

  • You may not copy, reproduce, resell, or distribute any part of the RaffleKit platform without written permission
  • Your own content — organisation name, logos, raffle details, prize descriptions — remains yours
  • Any feedback or suggestions you provide may be used by us to improve the service without obligation to you

15. 📝 Changes to these terms

We may update these Terms & Conditions from time to time. When we do:

  • We will update the "Last updated" date at the top of this page
  • We will notify you by email of any significant changes
  • Continued use of RaffleKit after the effective date of changes constitutes acceptance of the updated terms

If you do not agree with a change, you may cancel your plan before the change takes effect.
